What We’re Looking for

We are currently seeking an exceptional Area Site Coordinator for our Dallas, TX office. This role is vital in supporting the Medical Director, technical staff, and management team by ensuring smooth office operations, accurate recordkeeping, and clear communication with referring physicians and internal departments.

The Area Site Coordinator plays a key role in upholding service quality and patient care standards at NAVIX.

Primary Responsibilities

  • Answer incoming calls in a professional and efficient manner.

  • Receive patient referrals and accurately enter patient information into Athena.

  • Verify patient insurance and obtain referrals or pre-authorizations as required.

  • Contact patients regarding insurance deductibles and co-payments.

  • Schedule patient appointments and maintain organized scheduling records.

  • Develop, maintain, and organize patient files and documentation.

  • Provide on-site support for NAVIX and client staff as needed.

  • Assist with client scheduling, communications, and new site implementations.

  • Manage office equipment and inventory of supplies and forms.

  • Coordinate the timely delivery of final test reports to referring physicians.

  • Perform other administrative duties as assigned to support site operations.

Required Credentials & Qualifications

  • Education: High School Diploma or GED required.

  • Experience:

    • Minimum of 1–2 years in an administrative or clerical role, preferably in healthcare.

    • Prior experience supporting multiple stakeholders in a fast-paced environment.

  • Skills:

    • Strong proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

    • Excellent verbal and written communication skills.

    • High level of professionalism and discretion with confidential information.

    • Strong organizational, planning, and interpersonal skills.

    • Ability to work independently and as part of a team.
